Today, modern documentation logistics means the use of digital technology to generate and further process information and also make it permanently available to colleagues. One major cost factor in this field is document management, which is time‑intensive and affects several routine office working procedures. The latest version of the Sharpdesk™ document management software provides practical solutions for these tasks and thereby ensures optimal desktop organization.
Anyone who has ever worked in an office will know the problem: important files are scattered around the desktop in different formats, inaccessible to other colleagues and impossible to merge into a single document. With SharpdeskTM 3.3, this sorry state of affairs is a thing of the past. The latest version of the management software is a component of the network scanning options of Sharp MFPs and provides an even greater variety of applications as standard – from optimized user guidance and expanded composer functions to simplified administration.
Intuitive user guidance
The SharpdeskTM 3.3 document management software is now even easier to use with the Windows Vista-style user interface. With the aid of thumbnail views, users can now save their scanned documents and images directly on the desktop, access over 200 different file formats and find all documents at any time using the full-text index search tool. The option of sharing documents and files with other users on the network is also provided. The package also includes practical applications, such as “auto image rotation”, which automatically saves scanned images the right way up on the desktop.
Seamless composition of diverse data types
Another useful practical function of the management software is the built-in “Composer”. With this tool, users can seamlessly combine files from different applications into a single document. “Never before has it been so easy to create complex documents without having to pay attention to different file formats,” explains Keiichi Katsuta, President Sharp Information Systems Europe. “For example, our management software enables you to combine a colleague’s Word file and your own Excel spreadsheet or the customer’s PowerPoint presentation into a single production-ready document through simple drag-and-drop operation. The sequence of individual modules can also be re-edited later,” continues Katsuta.
Archiving and efficient workflow
With SharpdeskTM 3.3, and the MFP’s built-in network scanner, even documents that were previously only available in paper format are easy to sort clearly in your electronic archive. The digitized documents are transferred to a meta-file and are tagged by the high-precision text recognition system (OCR). The powerful OCR Engine faithfully converts the documents, keeping their original layout, so that they remain easy to edit, including all columns, spreadsheets, numbering and graphics. With this system, documents can be sorted, organized and managed in more than 120 languages. The final scan file can optionally be converted to PDF or saved as a JPEG file.
Simplified administration
SharpdeskTM also simplifies the work of the network manager. Using the new “Push Install” tool, the software can be installed on individual employee PCs simply by entering the license number from the central network management computer. The “Search Idle Time Indexing” update function automatically identifies periods when the PC is switched on but not in use. File indexing is permitted precisely in these low load times. Consequently, all working processes during regular computer operation remain undisturbed.
